EchoLumen ("we," "us," "our") is deeply committed to protecting your privacy and the privacy of your clients. This Privacy Policy explains how we collect, use, disclose, and protect information when you use www.echolumen.com and our AI-powered therapy-session transcription and summarization service ("the Service").

1. Information We Collect

We collect the minimum data necessary to provide the Service:

a) Account Information

  • Name, email address, and billing details when you create an account or purchase a plan.

b) Uploaded Session Recordings

  • Audio/video files you upload for processing ("User Content").

  • These files are NEVER stored longer than the few seconds required for transcription and summarization.

c) Transcripts & Summaries

  • The text generated from your recordings is stored only in your private account so you can view, export, or delete it.

d) Usage Data

  • Standard analytics (page views, clicks, device type) via Wix Analytics – no personal identifiers.

2. How We Use Your Information

  • To process recordings and deliver bullet-point summaries using third-party AI services (xAI Grok, OpenAI Whisper via secure API calls).

  • To manage your account, billing, and subscription.

  • To send service-related emails (receipts, password resets, critical updates).

  • To improve the Service (aggregated, anonymized usage patterns only).

3. Data Retention & Deletion

  • Uploaded audio/video files: Deleted immediately and permanently after processing (usually within 30–60 seconds).

  • Transcripts and summaries: Kept in your account until you delete them or close your account.

  • Account data: Retained while your account is active; deleted 30 days after cancellation or request.

4. We Do NOT Do the Following

  • Never sell, rent, or share your recordings, transcripts, or summaries with anyone.

  • Never use your therapy sessions to train or improve any AI models.

  • Never retain audio/video files on our servers.

  • Never display your content to other users.

5. Third-Party Processors (Strictly Controlled)

We use only trusted processors under strict agreements:

  • xAI (Grok) – summarization

  • OpenAI (Whisper) – transcription

  • n8n.cloud – secure workflow automation

  • Wix / Stripe – website hosting & payments

All processors are prohibited from using your data for any purpose other than delivering the Service to you.

6. Security

  • All file transfers use TLS 1.3 encryption.

  • Uploaded files are processed in isolated, ephemeral environments.

  • Access to your account requires secure login (password + optional 2FA via Wix).

7. Your Rights (GDPR, CCPA, and beyond)

You may at any time:

  • Access or download your summaries

  • Delete any or all data from your account

  • Request full account + data deletion

  • Opt out of non-essential emails

Contact support@echolumen.com – we respond within 48 hours (usually same day).

8. Children’s Privacy

Children and Minors EchoLumen may be used to process therapy sessions involving minors only when:

  • The therapist has obtained explicit, documented informed consent from the legal guardian(s) (in addition to any child assent required by law or ethics).

  • The therapist is fully compliant with COPPA, HIPAA, FERPA, and all state-specific minor-consent laws.

  • The therapist has anonymized or redacted any personally identifiable information of the minor before upload (recommended but not required by the Service).

We do not knowingly collect or process personal information from children under 13 without verified parental/guardian consent as required by COPPA. Therapists remain the data controller and are solely responsible for lawful processing.

Special Requirements for Sessions Involving Minors If you upload recordings that include minors: a) You represent and warrant that you have obtained all necessary consents and authorizations from parents/legal guardians. b) You agree to indemnify and hold EchoLumen harmless from any claims arising from non-compliance with minor-protection laws (COPPA, HIPAA, state laws, etc.). c) You acknowledge that EchoLumen processes these files under your direction and does not assume responsibility for consent compliance.

9. Changes to This Policy

We may update this policy occasionally. Significant changes will be notified by email and on-site banner at least 30 days in advance.
